In accordance with new European legislation, it is important that you know I am complying with the AVG (Algemen Verordening Gegevensbescherming) otherwise known as GDPR (General Data Protection Regulation) in the UK. I hope that this will help you to trust I am holding your data securely.
What is Algemene Verordening Gegevensbescherming (AVG) and how does it affect you?
The AVG replaces the 1998 Data Protection Act to ensure your personal and confidential data is kept private and held securely, being processed in the way that you have agreed to. It is there to protect your rights as a consumer of a service or product that might involve your identifiable data, e.g. your name and address. It also covers your telephone number, text messages, WhatsApps or emails we exchange. As part of a client brief and research this also covers photographs and your preferences and interests.
How long will you hold my information for?
In line with fiscal law requirements, I must keep records for 7 years.
What if you don’t want my records to be held for that long?
According to the AVG you can withdraw your consent for me to keep your data. You can request in writing to me, for all your records to be destroyed/deleted. In this case all your paper records would be shredded with a shredding machine and any electronic data such as emails or text messages would be permanently deleted from the devices they are stored on.
What do I do with your information once I have it?
I keep contact details, photographs, drawings and any work pertaining to a design project. This information enables me to provide a high quality service to you. It also helps me with my internal record keeping.
I may sometimes need to inform other suppliers and contractors of your details. I will always ask your consent to forward relevant details.
I may have to give up personal information when and if the law requires it. If I receive such a request for personal information from the law, I am obliged by law to provide them with your information.
What lengths are made to ensure my information is held securely?
Hardcopy documents – Are all stored in a dedicated office.
Text messages, – My phone is secured with a pin code.
Emails – My email account requires a username and password.
Electronic documents – Any electronic documents e.g. Letters of Agreement, technical drawings or invoices, are stored on a password protected computer.
